Contact Import Master Guide

Streamline contact management with smart bulk imports

This guide will walk you through the steps for importing contacts into the platform, including how to configure settings such as Field Mapping, Duplicate Control, and the Import process.

1. Import Contacts Overview

When importing contacts, you’ll need to specify various settings to ensure the data is correctly formatted and imported into the platform. Below are the key settings you’ll encounter during the import process:

2. Field Mapping

Before starting the import, it’s important to map the fields in your CSV file to the appropriate fields in the platform. This ensures that the data from the file is correctly matched to the corresponding fields on the platform.

3. Duplicate Control

This feature allows you to control how duplicates are handled during the import process. You can set it to either ignore duplicates or merge them based on certain rules, such as matching contact IDs or names. Make sure to choose the option that best suits your data import strategy.

4. Import Settings

Here are the settings you’ll need to configure:

Type

  • Description: Select the type of contacts being imported.
  • Options: Individual, Business, or any other custom categories defined by the platform.

Data File (CSV format)

  • Description: Choose your file to upload. Only CSV files are supported. Ensure your file is in the correct format.
  • File Size Limit: Maximum file size is 25 MB.
  • Action: Click Browse or Choose File to upload your CSV.

Encoding

  • Description: Choose the encoding format for your file. This is important to ensure the characters in your file are displayed correctly.
  • Options: Typically auto-detect works well, but you can manually select encoding if necessary.

Column Separator

  • Description: Choose the delimiter used in your CSV file to separate columns. Common options include comma (,), semicolon (;), or tab.
  • Options: Select from a list or manually input the delimiter based on your file structure.

Name Format (FN-LN)

  • Description: Specify how names are structured in your CSV file.
  • Options: You may select First Name - Last Name (FN-LN) or another format if your file uses a different naming convention.

First Row is a Header

  • Description: Indicate whether the first row of your CSV file contains headers (i.e., column names).
  • Action: Ensure that this is checked if your file uses headers to label columns, such as First Name, Last Name, etc. If not, uncheck the option.

5. Starting the Import

Once all the settings have been configured, and your data file is ready, you can proceed to the actual import.

  • Action: Click the Import button to start the process.

6. Post-Import Process

After the import is complete, the platform will provide you with a summary of the results, such as:

  • Number of contacts successfully imported
  • Number of errors or issues detected
  • Any duplicates that were handled (if Duplicate Control was applied)
